Project Overview
Delivery and operationalization of the City's Microsoft 365 Copilot sustainment, AI agents using Copilot Studio, and rollout of GitHub Copilot, including translating approved use cases, governance requirements, and risk treatments into an executable delivery plan, coordination, planning, operational readiness, service transition, and dashboard management.
Key Responsibilities
- Support the delivery of the workplan including licensing activation, onboarding, communications, training coordination, and support pathways
- Lead project progress reporting, budgeting risk management, and tracking of action items
- Draft divisional and city-wide communications (emails, memos, guidelines, FAQs)
- Create roadmaps and overview PowerPoint presentations for senior leadership
- Lead and/or support change management (stakeholder management, communications, client engagements) for the AI team
- Develop end-to-end process maps and outline operational steps to support project sustainment
- Assist in developing operating procedures, training materials, and knowledge transfer documentation
- Maintain integrated workplans, schedules, milestones, dependencies, and action logs for M365 Copilot, Copilot Studio Agents, and GitHub Copilot initiatives
- Produce weekly/monthly status reports, dashboards, RAID logs, and executive reporting materials
- Support the technical design, configuration, testing, and deployment of AI solutions, ensuring alignment with business, security, and operational requirements
- Coordinate development, including environment setup, release sequencing (dev/test/prod), and access controls consistent with governance practices
- Coordinate required governance controls (e.g., data policies/DLP via Power Platform admin center) and ensure incorporation into delivery plans and release gates
- Collaborate with various divisional or interdivisional stakeholders to gather project updates
- Coordinate user onboarding, licensing, provisioning, and divisional rollout activities
- Schedule meetings, create meeting recaps, minutes and track action items
- Monitor project document repository and ensure all documents are reviewed and maintained
- Track and monitor project dependencies, escalations, and critical path activities
- Maintain RAID logs (Risks, Assumptions, Issues, Dependencies) and ensure timely resolution
- Maintain and support completion of required assessments (SAR, TRA, IM, IAM, PIA) and risk treatments tied to Copilot and Copilot Studio enablement, ensuring delivery sequencing reflects governance gates
- Support operational readiness and service transition activities, including SOPs, support processes, and knowledge transfer documentation
- Track adoption, utilization, training completion, and rollout progress metrics, providing recommendations for continuous improvement
Qualifications & Requirements
REQUIRED
- Must be able to work 3 days onsite per week in Toronto
- Post secondary education in IT, Computer Science, Engineering, Business Management, or related field, or equivalent relevant experience
- Strong communication skills to translate technical topics (security, privacy, identity, governance) into delivery decisions and user-facing guidance
- Demonstrated judgement and accountability in a public sector or similar environment
- Knowledge and understanding of Project Management’s Institute’s Project Management Body of Knowledge
- Knowledge and understanding of Information Management principles, concepts, policies, and practices
- Knowledge and understanding of Accessibility for Ontarians with Disability Act (AODA) and related regulations and standards
- 5+ years supporting/delivering complex technology rollouts or digital enablement initiatives in large organizations
- Experience delivering M365 or enterprise SaaS rollouts involving technical implementation, licensing, onboarding, training, comms, and adoption measurement
- Experience coordinating delivery gates across security/privacy/compliance stakeholders (e.g., assessments/risk treatment approach)
- Ability to handle client relationships to manage expectations, provides updates as required, identifies potential conflicts between project and functional areas
- Familiarity with AI rollout prerequisites and operational dependencies (identity, access patterns, end-user readiness steps documented for pilots/production deployments)
NICE TO HAVE
- Experience with Copilot Studio / M365 Copilot / GitHub Copilot / other AI applications or solutions delivery is a strong asset (agents, environments, governance)
